Web Shop Terms and Conditions B2C – Prolog Coffee

General Information

These Terms & Conditions apply to purchases, subscriptions, and course registrations made via Prolog Coffee's web shop. If you have any questions, please contact us at hello@prologcoffee.com.

All purchases are made with Prolog Coffee ApS, Marguerite Vibys Plads 1, 2000 Frederiksberg, Denmark, CVR: 37459836.

All agreements are concluded by Danish Law.

1. Product Information

Each product is described on our web shop. Our coffee is sold as whole beans and packed in protective ventilated packaging for freshness.
Prices are stated in Danish kroner (DKK) including VAT, unless otherwise specified. Subscription contents may vary each month and are curated by our team.

Gift cards are issued for a specific product category and are not interchangeable between different offerings. Unless otherwise explicitly stated, gift cards may only be used for the category for which they were purchased, including coffee courses, subscriptions, or web shop purchases. Gift cards purchased for one category cannot be used for another category and cannot be exchanged, converted, or redeemed across categories. Gift cards cannot be redeemed for cash and are non-refundable, except where required by applicable law.

2. Payment

Payment in the web shop is possible via Visa/Dankort, VISA, MasterCard, Maestro, MobilePay, and AMEX. Payment is charged once the order is confirmed.

We reserve the right to correct errors, adjust prices due to changes in VAT or taxes, and cancel orders due to typographical errors or force majeure.

3. Subscriptions

When subscribed to our service, you accept a monthly automatic payment, until subscription is cancelled. You may cancel your subscription at any time by contacting us at hello@prologcoffee.com. The cancellation will take effect from the next billing cycle.
You will receive an order confirmation for each renewal.

4. Courses

The experience ticket and order confirmation are always sent to the email address provided.

Responsibility for the experience ticket is transferred to you as the consumer at the time you receive the ticket.

When you have paid for an experience, the experience ticket is always sent to the email address provided. If you do not receive an email, you should first check whether our email has ended up in your spam or promotions folder. If it is not there, you can contact us directly and get help.

Responsibility for the experience ticket is transferred to you as the consumer at the time you receive the ticket by email, and you should therefore check as soon as possible whether the content of the email and the experience ticket matches the order and order confirmation.

All prices on Prolog Coffee are stated in DKK and include VAT. Exceptions are experiences that, based on their content and nature, are exempt from VAT, cf. the rules of the VAT Act.

Our gift card is a gift card for a specified amount that can be used as a means of payment.

Our gift cards cannot be combined and must therefore be used individually. Please also note that discount codes cannot be used when purchasing gift cards.

We reserve the right to cancel the order if this is not observed.

With more than 48 hours to the experience, you can rebook by contacting us directly. However, some experiences have special rules for rebooking, e.g. for overnight stays and for experiences that require a long preparation time, and there may therefore be a few exceptions. This will be stated under Rules and security on the experience's product page.

If there is less than 48 hours left for the experience, the experience cannot be rebooked. Please note that experiences often involve preparations that involve expenses that must be covered, and you cannot therefore get a refund for the experience.

On the day: If something unforeseen has occurred immediately before or on the day of the experience (e.g. illness), please contact the experience manager so that they know that you will not participate anyway. You will find the contact details in your booking confirmation. Alternatively, you are generally welcome to give your ticket to another party.

Requirements upon arrival at the experience

Please arrive at least 5 minutes before the start time of the experience. When arriving at the experience, you must be able to document your booking via your ticket or booking confirmation.

Personal information

We register your personal information for the purpose of being able to deliver the item to you.

The personal information is registered with Prolog Coffee and stored for five years, after which the information is deleted.

When you purchase an experience on Prolog Coffee, we need the following information:

Name, Address, Email address, Phone number.

5. Shipping & Delivery

We ship via PostNord and DHL Express.

Estimated delivery times vary by region and selected shipping method. We strive to deliver within the time frame indicated but cannot guarantee exact delivery dates.

If a product is delayed, you will be informed as soon as possible, and you have the right to cancel the purchase if delivery is delayed more than 30 days, cf. Danish Sale of goods Act (Købeloven) § 74 and Danish Consumer Contracts Act (Forbrugeraftaleloven) § 27.

6. Transfer of Risk

In accordance with the Danish Sale of Goods Act (Købeloven), the risk for purchased goods passes to you only when you (the consumer) or a person authorized by you have taken physical possession of the goods.

Until that time, Prolog Coffee bears the risk of any damage or loss during shipment.

7. Right of Withdrawal and Returns

Under the Danish Consumer Contracts Act (Forbrugeraftaleloven), you have a 14-day right of withdrawal from the day you receive your goods.

However, the right of withdrawal does not apply to food products such as coffee, as these are perishable goods, Cf § 18, stk. 2, nr. 1, cf. § 7, stk. 2, nr. 1.

Other unopened and unused non-food products in their original packaging may be returned within 14 days of delivery.

To exercise your right of withdrawal, you must notify us at hello@prologcoffee.com within 14 days of receiving your goods.

You then have 14 days to return the item, Cf § 19.

Return shipping is at your expense, and you are responsible for ensuring the product is properly packed.

Refunds are issued once the product has been received and verified to meet the return conditions.

Refunds are made to the same payment method used for the purchase.

8. Missed Pickup & Return Handling

If an order is returned to us because it was not collected or due to incorrect delivery information, the order is not automatically refundable. Failure to collect a parcel is not considered a valid exercise of the right of withdrawal.

Returned packages are stored for 14 days and may be reshipped upon payment of additional shipping costs.

9. Newsletter & Marketing Consent

We only send marketing emails with your consent.

You can withdraw your consent at any time by using the unsubscribe link in each email.

10. Privacy and Data Protection (GDPR)

We process your personal data in accordance with the General Data Protection Regulation (GDPR) and the Danish Data Protection Act.

We collect your name, email, phone number, billing and shipping address, and order details to fulfill purchases and subscriptions.

We only share data with trusted partners necessary to process your order (e.g., shipping, payment, and platform providers).

Personal data is stored securely and retained only as long as legally required.

You have the right to:

- access your data,

- correct inaccuracies,

- request deletion ("the right to be forgotten"),

- restrict processing, and

- request data portability.

We may use the third-party providers who process data on our behalf such as:
Turis (e-commerce), Shopify (webshop platform), Stripe (payment), PostNord/DHL (shipping), and Klaviyo (email communication).

11. Jurisdiction and Applicable Law

These terms are governed by Danish law.
Any disputes shall be resolved by the courts of Denmark.
Consumers residing in another EU country may also bring proceedings in their own country of residence, in accordance with EU Regulation 1215/2012.

12. Complaints

If you wish to file a complaint, please contact us at hello@prologcoffee.com.
We will process your complaint within 30 days and aim for a fair resolution.
